Temp position: Administrator

Duration: 3 months, with possibility of a permanent position

Working days/hours – Monday to Friday 9am – 5pm

Location: Govan

Starting 1st March 2021

My client, based in Govan, is looking for an organised, hardworking Administrator to join their busy team on a long term temporary basis.  They are looking for an administrator who can also provide exceptional Customer Service to their customers over the telephone and via email.

Job Description

  • Managing initial incoming enquiries from customers 
  • Take ownership of enquiry, ensure an acknowledgement is provided to the client and that any actions are initiated and ensure follow-up with relevant team and conclusion is reached
  • Support Development Managers to ensure responses are provided to clients
  • Maintaining database records and ensuring client and site records are up-to-date
  • Ensure more technical issues/job orders are dealt with by Operations
  • Ensuring technical issues are being addressed and liaising with technical staff regarding major building works
  • Highlight, where required, to Team Leader any technical issues which could cause exposure for the company
  • Managing reports, actioning where appropriate and/or highlighting the reports to the Development Managers
  • Deal with enquiries relating to payments, invoice queries and forwarding customer queries, which are more technical, to either the Finance or Income Recovery Team
  • Managing initial incoming enquiries regarding Sales, internal IT, complaints etc
  • Maintain & update contractor approval information  
  • Daily administration  
  • Assist in the preparation of the emergency out of hours scripting and performance.  Also assist in ensuring that the rota is up-to-date
  • Scanning important documents
  • Processing and sending out mail merges
  • Covering for/helping other members of the team as required
  • General duties which include billing admin assistance/organisation
  • Assisting with the procedures and training information for tasks that you carry out
  • Responding to correspondence, telephone calls and emails within the company’s published timescales
  • Any other reasonable duties as required
